We are a fast-growing company looking for a high-energy Office Manager / Sales & Dispatch Coordinator who thrives in a fast-paced environment and takes pride in delivering exceptional customer service.


Position Overview

This role is the operational heartbeat of the company.

You will be responsible for managing customer calls, scheduling and dispatching technicians, following up on estimates, and helping convert opportunities into booked jobs.

Key Responsibilities

Customer Service & Sales

  • Answer incoming calls and provide outstanding customer service
  • Convert incoming inquiries into booked appointments
  • Follow up on open estimates and unscheduled work
  • Maintain communication with customers throughout the job process
  • Identify opportunities to schedule additional services

Scheduling & Dispatch

  • Schedule and dispatch technicians to maximize daily productivity
  • Coordinate routes and schedules efficiently
  • Monitor job progress and adjust schedules as needed
  • Ensure technicians have clear job information before arriving onsite

Office Operations

  • Maintain accurate customer records and job notes
  • Manage work orders and job scheduling systems
  • Coordinate invoices, payments, and job completion details
  • Support the owner with administrative and operational tasks

The Ideal Candidate

• Works well in a fast-paced service business

• Communicates clearly with customers and team members

Experience in dispatching, scheduling, customer service, or inside sales is strongly preferred.
